Day 0–1
Secure the billing history
We pull your complete remittance history from your clearinghouse before anything can purge — some clearinghouses delete files after 30 days. This is what powers your day-one payer rates.
Day 1–5
Request the exports
Every certified EHR must provide a full electronic export of your records. We hand you the one-paragraph request letter; your biller pulls the practice-management reports with our per-vendor cheat sheet.
Day 5–10
Import & reconcile
Demographics, coverage, charts, labs, documents, your fee schedule, and billing history load into your workspace. Duplicates reconcile; anything ambiguous is flagged, never guessed.
Day 10–12
Validation walk-through
Pick ten patients and we walk their charts together; your biller reviews the payer-rate table and fee schedule. Anything off gets fixed before go-live.
Day ~14
Go-live
Staff accounts, specialty setup, billing toggle, portal invites. Your old system goes read-only as a safety net — then you archive it.
Live on day one

All transfer is encrypted, a BAA is signed before any PHI moves, and imported data lives under your clinic's isolated workspace. You can export your data out of Crebral at any time — we win by being good, not by locking you in.
